This website and the CleanLink platform are operated by GSS ENTERPRISES PTY LTD (ABN 42 689 788 869), trading as CleanLink. We provide software for commercial cleaning operations: a web application used by cleaning companies and a mobile application used by cleaners.

GSS ENTERPRISES PTY LTD is bound by the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth).

2. Information we collect

We collect and hold the following kinds of personal information:

• Account details: name, email address, mobile number and the company or companies your account belongs to. Cleaner accounts also hold a street address, suburb, postal code and, optionally, a date of birth.
• Operational data: the customers, sites, cleaning scopes, schedules and jobs a cleaning company records in the platform, along with the cleaners assigned to them.
• Job completion data: when a cleaner works a job, the platform records start and finish times, the status of each scope item, comments, photo evidence of the work, a completion checklist, the device location captured at the point of finishing and a signature.
• Billing information: invoicing and payment records relating to services delivered through the platform.
• Enquiry details: anything you send us through this website's contact form, by email or by phone.
• Usage data: technical information about your use of the website and applications, such as IP address, device type and pages visited.

3. How we use it

We use personal information to:

• Provide the platform and the features described on this website.
• Authenticate accounts and control which company workspaces a user can access.
• Record completed work and make it available to the cleaning company the job belongs to.
• Support invoicing and, where connected, synchronise invoicing data with a company's accounting software.
• Respond to enquiries and provide customer support.
• Maintain, secure and improve the platform.
• Meet our legal, tax and record-keeping obligations.

4. Cleaning companies and their data

Where a cleaning company uses CleanLink to run its operation, that company decides what information it records about its customers, sites and cleaners. In relation to that information, we act on the company's instructions as the provider of the platform and the company remains responsible for how it uses the data it collects.

Information a cleaner records against a job, including photo evidence, comments, completion checklist, location captured at finish and signature, is visible to the cleaning company that job belongs to.

5. Disclosure

We do not sell personal information. We may share it with:

• The cleaning company a user's account belongs to, as described above.
• Service providers who support the platform, including cloud hosting, authentication and accounting integrations, under agreements that limit how they may use it.
• Regulatory or government bodies where we are required to by law.

6. Storage and security

Platform data is hosted on Amazon Web Services. Access is controlled through managed authentication and accounts can only reach the company workspaces they have been granted. We take reasonable steps to protect personal information from misuse, loss and unauthorised access, though no system can be guaranteed absolutely secure.

7. Location and camera permissions

The mobile app asks for camera and photo library access so cleaners can attach evidence to a job and for location access so a location can be recorded when a job is finished. Both are used only for those purposes. You can decline or withdraw these permissions in your device settings, though some parts of finishing a job may not be available if you do.

8. Cookies

This website may use cookies for basic functionality and, where enabled, analytics that help us understand how visitors use it. You can control cookies through your browser settings at any time.

9. Your rights

Under the Privacy Act 1988 you may:

• Request access to the personal information we hold about you.
• Ask us to correct information that is inaccurate or out of date.
• Ask how your information has been used or disclosed.
• Make a complaint if you believe we have mishandled your personal information.

If your account belongs to a cleaning company, some requests may need to be directed to that company as the organisation that collected the information. We will tell you if that is the case.
